New Steps for Commission Meeting Materials
Quick guide to help your materials shine
If you're submitting items for an upcoming commission meeting, there’s a new four-step process to follow. These updates are designed to help you get clear feedback and ensure your materials are ready for review on time.
- Start with the agenda
Work with your supervisor to confirm your item and let the executive assistant know what you’re bringing to the meeting. Be sure to note if it’s an action item, an informational update, or just for the packet. - Share your storyline (aka outline)
Create a short outline of what you plan to cover using the storyline template. Email it to the executive director and department heads by the due date listed in the meeting schedule. - Submit your memo and slides
About a week later, email your full memo and presentation to the communications director, executive assistant, and your supervisor. Upload your presentation to the Y-drive if it is too big to email—just let us know when it’s ready to review. - Final checks and packet prep
The communications director and executive assistant will review your materials and let you know if any edits are needed before the executive director’s final sign-off.
